PaidFlow AI collects only the information needed to provide account access, payment collection workflows, reminder generation, email delivery, tracking, support, security, and subscription status.

Account information

Account information may include name, email address, login information, account status, and subscription status.

Collection case data

Collection case data may include client name, client email address, project name, payment amount, currency, due date, collection stage, reminder frequency, payment confirmation status, collection completion date, supporting documents, and timeline records.

Email processing

PaidFlow AI may process email subject lines, email body content, reminder status, delivery status, open detection status, open count, reminder sent date, and custom identifiers needed to connect email events to the correct collection case.

Email tracking is informational only and is not proof that a client read a reminder, agreed with a reminder, or completed payment.

AI processing

PaidFlow AI uses AI services to generate payment reminder drafts. Information sent for AI reminder generation may include client name, project name, amount, currency, due date, collection stage, reminder number, and relevant collection context.

AI-generated content is used only to help create reminder emails. PaidFlow AI does not provide legal, financial, accounting, or debt collection advice.

Third-party services

PaidFlow AI may rely on AI providers, email delivery providers, cloud hosting and database providers, authentication providers, app store subscription providers, analytics, monitoring, security, and customer support tools. We do not sell personal information.

Data retention

We retain user data for as long as necessary to provide the service, maintain collection history, comply with legal obligations, resolve disputes, prevent abuse, and support account recovery.

Security

We use reasonable technical and organizational measures such as authentication controls, access restrictions, server-side key protection, database privacy rules, and security monitoring. No system can be guaranteed completely secure.

User data deletion

Users may request deletion of their PaidFlow AI account and associated data from the Delete Account page. Some information may be retained when required by law, fraud prevention, security investigations, or financial record keeping.
