Agreement to Terms
These Terms of Service govern your access to and use of PaidFlow AI, an AI-powered payment collection assistant for freelancers and small businesses. By creating an account, accessing, or using PaidFlow AI, you agree to these Terms. If you do not agree, you must not use PaidFlow AI.
Description of service
PaidFlow AI helps users create, manage, and track payment collection workflows. Features may include collection case creation, AI-generated payment reminder drafts, reminder email sending, reminder scheduling, email delivery and open tracking, collection timelines, payment confirmation tracking, collection history, and Free or Pro plan access.
PaidFlow AI is a software tool. It is not a law firm, accounting firm, payment processor, bank, escrow service, debt collection agency, or financial institution.
Eligibility
You must be legally able to enter into these Terms to use PaidFlow AI. PaidFlow AI is intended for freelancers, small businesses, and professional users. It is not intended for children under 13.
By using PaidFlow AI, you confirm that you have the legal right to use the service, will provide accurate information, will use the service only for lawful purposes, and are responsible for your own collection communications.
Account registration
To use PaidFlow AI, you may need to create an account. You are responsible for keeping account information accurate, maintaining the security of login credentials, all activity under your account, and notifying us if you believe your account has been accessed without authorization.
We may suspend or terminate accounts that violate these Terms or create security, legal, or operational risks.
User Content
User Content means information you enter, upload, generate, store, send, or manage through PaidFlow AI. This may include client names, client email addresses, project names, payment amounts, currency, due dates, collection stages, reminder content, supporting documents, payment confirmation status, and collection history.
You retain ownership of your User Content. By using PaidFlow AI, you grant us permission to process User Content only as needed to operate, maintain, secure, and improve the service. You are responsible for ensuring that your User Content is accurate, lawful, and appropriate.
AI-generated content
PaidFlow AI may use AI to generate payment reminder drafts or related communication content. AI-generated content may be inaccurate, incomplete, unsuitable, or inappropriate for a specific client situation.
You are responsible for reviewing and approving all AI-generated content before sending it. You must verify recipient information, payment amount, due date, project details, tone, legal and factual accuracy, and any claims made in the reminder.
PaidFlow AI does not guarantee that AI-generated reminders will result in payment, client response, or successful collection.
Email reminders and tracking
PaidFlow AI may allow you to send payment reminder emails. You are responsible for ensuring that you have the right to contact the recipient, recipient information is correct, email content is lawful and accurate, and your communication complies with applicable email, anti-spam, privacy, debt collection, and consumer protection laws.
PaidFlow AI may display delivery or open tracking information. Email delivery or open tracking does not mean that the client read the reminder, agrees with the reminder, intends to pay, or has completed payment.
Email tracking is informational only and may be blocked, delayed, duplicated, or unavailable depending on the recipient's email provider, privacy settings, security tools, or email app behavior.
Payment confirmation
PaidFlow AI does not automatically detect whether a client has paid. You are responsible for checking your own bank account, payment processor, invoice system, accounting system, or other payment records before confirming payment in the app.
A collection case is treated as completed only when you manually confirm payment inside PaidFlow AI. Do not rely on email opens, delivery events, reminder activity, AI output, or timeline events as proof of payment.
Free Plan and Pro Plan
PaidFlow AI may offer Free and Pro plans. The Free plan may include limits such as a limited number of active collection cases, limited automation, limited usage of certain features, and limited access to advanced functionality.
The Pro plan may provide expanded access to automation, collection management, reminder features, or other paid functionality as displayed in the app. Plan features, pricing, limits, availability, and included functionality may change over time.
Subscriptions, billing, and cancellation
PaidFlow AI subscriptions may be processed through Google Play or another authorized payment provider depending on where you subscribed. Subscription billing, renewal, cancellation, refund eligibility, and payment processing are handled by the relevant app store or payment provider.
Google Play subscriptions can be managed or canceled through Google Play subscription settings. If another authorized provider is used in the future, cancellation must be handled through that provider. Uninstalling the app may not automatically cancel your subscription. You must cancel your subscription through the platform where the subscription was purchased.
PaidFlow AI does not directly collect or store your payment card information.
Refunds
Refunds are handled according to the policies of the app store or payment provider where the purchase was made. PaidFlow AI does not guarantee refunds unless required by applicable law or the relevant app store policy. If you purchased through Google Play or another authorized payment provider, refund requests should be submitted through the relevant platform.
Acceptable use
You agree not to use PaidFlow AI to send unlawful, deceptive, abusive, harassing, threatening, or discriminatory messages; impersonate another person or organization; misrepresent payment obligations; send spam or unauthorized commercial email; violate privacy, debt collection, consumer protection, anti-spam, or professional rules; upload false, misleading, illegal, or harmful content; attempt to collect money you are not legally entitled to request; pressure, shame, threaten, or harass clients; interfere with operation or security; reverse engineer, scrape, overload, or abuse the service; or use the service for illegal or unauthorized purposes.
PaidFlow AI is designed for professional, respectful, and lawful payment follow-up.
Client disputes
PaidFlow AI cannot determine whether a payment dispute is valid. If a client disputes project scope, service quality, contract terms, delivery, amount, deadline, or payment obligation, you are responsible for handling the dispute appropriately.
PaidFlow AI does not provide legal negotiation, mediation, arbitration, accounting review, or dispute resolution services.
Supporting documents
PaidFlow AI may allow you to attach supporting documents to a collection case. You are responsible for ensuring that uploaded documents are accurate, lawful, and relevant.
PaidFlow AI does not independently verify uploaded documents and does not guarantee that they are legally enforceable, complete, or sufficient to support a payment claim. In Version 1, PaidFlow AI does not provide OCR, invoice verification, legal document review, automatic evidence validation, or automatic payment detection.
Third-party services
PaidFlow AI may rely on third-party services, including AI service providers, email delivery providers, cloud hosting providers, database providers, authentication providers, app store subscription providers, analytics or monitoring tools, and push notification services.
Third-party services may be subject to their own terms, privacy policies, limitations, and availability. We are not responsible for third-party outages, delays, tracking limitations, billing platform issues, policy changes, or service interruptions outside our control.
Privacy
Your use of PaidFlow AI is also governed by our Privacy Policy. The Privacy Policy explains how we collect, use, store, and share information when you use PaidFlow AI. By using PaidFlow AI, you agree that we may process your information as described in the Privacy Policy.
Push notifications and email-open alerts
PaidFlow AI may provide optional service notifications, including alerts when a payment reminder is opened. Push notification delivery may be delayed, unavailable, or affected by device settings, operating system settings, network availability, or third-party service providers.
An email-open alert only indicates that the email or its tracking content was opened or loaded. It does not confirm that the recipient fully read the message, acknowledged the payment request, agreed to pay, or completed payment. Users may disable these notifications through PaidFlow AI Account settings or Android system settings.
Intellectual property
PaidFlow AI, including its design, software, workflows, branding, text, interface, features, and related materials, is owned by us or our licensors. You may not copy, modify, distribute, sell, lease, reverse engineer, or create derivative works from PaidFlow AI unless we give you written permission. You may use PaidFlow AI only as permitted by these Terms.
Feedback
If you provide feedback, suggestions, ideas, or improvement requests, you allow us to use them without restriction or compensation. We may use feedback to improve PaidFlow AI, create new features, update workflows, or modify the service.
Service changes
We may update, modify, limit, suspend, remove, or discontinue any part of PaidFlow AI at any time. This may include changes to features, pricing, usage limits, Free plan access, Pro plan benefits, automation behavior, AI generation, email tracking, and supported platforms.
We will try to avoid unnecessary disruption, but we do not guarantee that any feature will remain available permanently.
Suspension and termination
We may suspend or terminate your access to PaidFlow AI if you violate these Terms, misuse the service, create legal, security, abuse, or operational risks, your payment or subscription cannot be verified, we are required to do so by law or platform rules, or the service is discontinued.
You may stop using PaidFlow AI at any time. Termination does not automatically cancel an active subscription. If your subscription was purchased through an app store, you must cancel it through that app store.
Disclaimer of warranties
PaidFlow AI is provided on an as-is and as-available basis. We do not guarantee that PaidFlow AI will recover payment, a client will respond, a client will pay, email delivery will always succeed, email tracking will always be accurate, AI-generated content will always be correct, the service will be uninterrupted or error-free, or the service will meet all of your business needs.
To the fullest extent permitted by law, we disclaim all warranties, whether express, implied, statutory, or otherwise, including warranties of merchantability, fitness for a particular purpose, non-infringement, availability, and accuracy.
Limitation of liability
To the fullest extent permitted by law, PaidFlow AI and its owners, operators, employees, contractors, partners, and service providers will not be liable for lost revenue, lost profits, failed collections, client disputes, payment delays, business interruption, data loss, incorrect AI output, email delivery failure, email tracking inaccuracies, subscription platform issues, third-party service failures, or indirect, incidental, special, consequential, exemplary, or punitive damages.
PaidFlow AI is not responsible for decisions you make based on AI-generated content, email tracking, timeline events, or collection status information.
Indemnification
You agree to defend, indemnify, and hold harmless PaidFlow AI and its owners, operators, employees, contractors, partners, and service providers from any claims, losses, liabilities, damages, costs, and expenses arising from your use of PaidFlow AI, your User Content, your client communications, your violation of these Terms, your violation of law, your misuse of AI-generated content, your payment collection activities, or any dispute between you and your client.
Governing law
Unless required otherwise by applicable consumer protection law, these Terms are governed by the laws of Taiwan, Republic of China, without regard to conflict of law principles. If PaidFlow AI is operated through a registered legal entity in another jurisdiction, this section should be updated to match that legal entity before publication.
Changes to these Terms
We may update these Terms from time to time. When we update the Terms, we will change the Last updated date. Continued use of PaidFlow AI after updated Terms become effective means you accept the updated Terms. If you do not agree to the updated Terms, you must stop using PaidFlow AI.
